# Miami Racket Club — Event and Tournament Participation Agreement

**Effective date:** August 1, 2026

This Event and Tournament Participation Agreement ("Agreement") applies to everyone who registers for or takes part in a Miami Racket Club event, tournament, ladder, or organized session, whether or not you are a member. This includes Player Challenge, flex tournaments, ladders, liveball, clinics, socials, and open events such as **The All Miami**. By registering, paying an entry fee, or participating, you agree to this Agreement, to any event-specific rules published at registration, and, if you are a member, to the Club's Terms and Conditions. Please read it carefully. If you do not agree, do not register or participate.

In this Agreement, "the Club," "we," "us," and "our" mean Miami Racket Club and, for co-organized events, its event co-organizers.

 

## 1. Eligibility

You must be at least eighteen (18) years old to register and participate, unless the Club expressly offers a youth division and a parent or legal guardian signs on the minor's behalf. You are responsible for confirming you meet any level, division, or eligibility requirements published for the event.

 

## 2. Registration and entry fees

Your spot is confirmed only when your registration is complete and your entry fee is paid or invoiced as stated at registration. Entry fees are set per event and may differ for members and non-members. Space is limited and may sell out; registration does not guarantee a specific division, time, court, or opponent.

 

## 3. Fees are non-refundable

Except where required by law or as stated in Section 8, all entry fees and event charges are non-refundable, including if you withdraw, arrive late, are unable to complete your matches, are disqualified, or do not attend. If you registered but did not pay in advance, you remain responsible for the fee you agreed to at registration.

 

## 4. Format, divisions, and scheduling

Event formats, divisions, brackets, schedules, courts, and match times are set by the Club and may change before or during the event for operational reasons. Divisions may be organized by level using each player's rating; the Club's level and division assignments are final for play. Ladder and flex matches may be arranged directly between players, and unplayed matches may be recorded as forfeits or walkovers under the published rules. You are responsible for arriving on time and ready to play; late arrivals may be defaulted.

 

## 5. Results, scoring, and disputes

Scores are reported in good faith and by the deadlines published for the event or season. Where a result is disputed, a rule question arises, or conduct affects play, the Club will review the matter, and its determination is final for standings, advancement, and any prizes or titles. Prizes, points, and finalist titles are awarded at the Club's discretion under the published rules and may be withheld for rule violations or misconduct.

 

## 6. Code of conduct

You agree to play and behave with sportsmanship and respect toward other players, guests, coaches, staff, officials, and facilities, and to follow posted rules and reasonable staff instructions. Harassment, threats, discrimination, violence, cheating, dishonest scoring, intoxication that affects safety or play, damage to facilities, or conduct that materially disrupts the event may result in a warning, default of a match, removal from the event without refund, and exclusion from future events, at the Club's reasonable discretion.

 

## 7. Assumption of risk and release of liability

Tennis and racket sports involve inherent risks, including the risk of serious physical injury, and events may take place in heat, sun, and other outdoor conditions. By participating, you acknowledge and voluntarily assume all risks associated with participation and with your presence at the event venue. To the fullest extent permitted by law, you release and hold harmless Miami Racket Club, its owners, staff, coaches, contractors, event co-organizers, sponsors, vendors, and venue partners from any claims, liabilities, injuries, losses, or damages arising out of or related to your participation, your use of any facility or equipment, or your presence at the event, except to the extent caused by gross negligence or willful misconduct. You confirm that you are physically fit to participate, and you are responsible for your own health, hydration, and equipment. We recommend you carry your own health and accident insurance.

 

## 8. Weather, cancellation, and changes

Outdoor events are subject to weather and court conditions. The Club may delay, shorten, reschedule, relocate, or cancel all or part of an event for weather, safety, or operational reasons. If the Club cancels an event in full before it begins and does not reschedule it, we will offer either a credit toward a future Club event or a refund of the entry fee, at the Club's election. Once an event has begun, or where play is shortened or a division is adjusted due to weather, safety, or operational needs, entry fees are non-refundable, and any accommodation is at the Club's discretion. Merchandise, gift bags, hospitality, and sponsor items are provided as available and are not guaranteed.

 

## 9. Photography, media, and sponsors

Events are photographed, recorded, and filmed. By participating, you grant the Club, its event co-organizers, and event sponsors the irrevocable right to capture and use your name, image, likeness, and voice in photographs, video, audio, and other media for promotion, marketing, social media, sponsor deliverables, press, and archives, in any medium now known or later developed, without compensation, notice, or approval. This right extends to co-organizers and sponsors of the specific event you attend. If you do not wish to be recorded, do not participate.

 

## 10. Guests, spectators, and property

You are responsible for the conduct of any guests or spectators you bring, and they participate in the event environment subject to the assumption-of-risk and media terms above. The Club is not responsible for lost, stolen, or damaged personal property at any event.

 

## 11. Sponsors and third parties

Some events are supported by sponsors and third-party vendors. Sponsor activations, products, samples, and services are provided by those third parties, and the Club is not responsible for third-party products or services. Reference to a sponsor or partner does not make them responsible for the event or for your participation.

 

## 12. Governing law and dispute resolution

This Agreement is governed by the laws of the State of Florida, without regard to its conflict-of-laws principles. Any dispute arising out of or relating to your participation or this Agreement shall be resolved through binding arbitration in Miami-Dade County, Florida, on an individual basis. You and the Club waive any right to bring or participate in a class, collective, or representative action. You agree to indemnify and hold the Club and its event co-organizers and sponsors harmless from claims, damages, and expenses, including reasonable attorneys' fees, arising out of your breach of this Agreement or your conduct at any event, to the extent permitted by law.

 

## 13. General

If any provision of this Agreement is found unenforceable, the remaining provisions stay in effect. This Agreement, together with the event-specific rules published at registration and, for members, the Club's Terms and Conditions, is the entire agreement regarding your participation. Where an event-specific rule and this Agreement conflict, the event-specific rule controls for that event.
